Web Payments

TL;DR

This is a web only release to allow payment information to be added, updated, and deleted via the web app. In addition, it provides search facilities including student name, amount, payment type, method and reference.

Money Page

The basic money page is a listing which shows all payments, both in and out within a given period e.g., Current Month, plus totals for the monies received, the monies paid out and the balance. The period which is displayed can be changed at the top of the list. In addition, there is an Add Payment button.

Note: The financial year is preset to 6th April to 5th April. If you require different values to that, use the custom dates and set them accordingly.

As you can see, it lists, in reverse chronological order, all the payments both in and out which fall within the period specified, subject to any search criteria. You can click on the details e.g., Student Lesson Fees or Fuel to edit the payment. You can click on the Student Name to access the profile information for that student.

In addition, if a receipt is present, indicated by the presence of a paper clip on the left hand side, you can click that to download a copy of it.

Payments Received - Student Lesson Fees

Once you have clicked Add Payment, choose a payment type of Student Lesson Fees and you will be presented with a list of all your current active students for you to select the relevant one. Then you can enter the other information as required. Remember that you need to specify the Time to Credit in order for the monies paid to be apportioned to the relevant student e.g., £50 paid = 1 hour 30 minutes credited time.

Once all the information has been entered, save it.

Payments Made

Clicking the Add Payment button will immediately present a list for you to select the correct payment type. Once selected you will be presented with the following screen.

Enter the relevant details for the payment made and click Save. You will then be asked if you want to attach a receipt to the payment. You can pick a photo from your PC or laptop if required.

Editing Payments

You can edit a payment of either type by clicking on the relevant payment on the payment list. You also have the ability to add a receipt if you have one or remove the attached receipt if it is no longer required. Once you have made the changes you require, press save.

Deleting Payments

You can delete a payment by editing the payment and then selecting the Delete button in the bottom left.

Exporting Accounts

We know you'll also want to export your records for your accountant.  We'll add that to the website in due course, but for now you'll need to use the "Export to CSV" option on the menu within the Income & Expense Report in the Money section of the mobile app.

... and finally

Your student can always see a list of their upcoming lessons through the student app. Once on the main feed, the two dots, indicated by the red arrow in the picture below show that there is a second page accessed by scrolling to the right. This will show the second page from which the student can access their list of lessons (View Bookings) amongst other things.

If you have added lessons since they last accessed their app, they can refresh the page by dragging down from the top of the screen.
